Who is responsible

What we collect and why

When you use a contact form, we receive your name, email address, the message you write and, if you fill them in, your company and budget range. We use this information only to answer your enquiry and, if you ask us to, to prepare a proposal or start working together.

The legal basis is taking steps at your request before entering into a contract (Article 6(1)(b) GDPR) and, for general questions, our legitimate interest in responding to people who contact us (Article 6(1)(f) GDPR). We do not use your details for newsletters or marketing, and we never sell them.

Who receives it

Your message is delivered by email to the Vexora partner responsible for the topic you chose. We rely on Microsoft as our service provider: the website is hosted on Microsoft Azure (West Europe region) and email runs on Microsoft 365. Microsoft processes the data on our behalf under its data processing terms. Where data may be processed outside the European Economic Area, Microsoft relies on the safeguards provided by the GDPR, such as the EU Standard Contractual Clauses and the EU–US Data Privacy Framework.

How long we keep it

We keep enquiries for as long as needed to handle them, and at most two years after our last contact, unless the enquiry leads to an assignment. In that case the data becomes part of our client records and is kept for as long as the law requires, for example for accounting purposes.

Cookies and tracking

This website does not use cookies, analytics or tracking tools. Like any website, the hosting infrastructure may briefly process technical data such as your IP address to deliver pages and protect against abuse.

Your rights

You can ask to access, correct or delete your personal data, to restrict or object to its processing, or to receive it in a portable format. Send your request to info@vexora.be and we will respond within one month.

If you believe we are not handling your data correctly, you can lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be.
